Our Methodology

How Cedarvault approaches household records

Every service follows the same underlying method — adapted to the household's situation and the scope of the work.

01

Understand what the household holds

We begin by mapping the full picture — what kinds of documents the household has, in what forms, and where they currently live.

02

Build the structure together

Folder structures, labelling conventions, and category decisions are made with the household member present and leading.

03

Produce a written index

Every service ends with a printed reference the household keeps — a record of the system that does not require a device to use.

04

Follow up at a set interval

We return — as a written note or a visit — to check that the system is working and address anything that has come up since the initial session.

Service 01

Digital Records Organizing Session

A single half-day session in which the Cedarvault team works alongside a household member to build a clean organising system for the household's digital records — folders, naming conventions, backup routines, and a short written index. The work is organisational; no account is accessed and no credential is collected. The household member leads the session and makes all decisions.

  • Folder structure and naming conventions designed in session
  • Backup routine reviewed and noted
  • Printed index template supplied
  • Follow-up note sent one month after session
  • Suitable for any level of digital file experience

RM 530

/ single session (half-day)
Best for: Households who primarily hold digital documents and want a clear, navigable folder structure as a starting point.

Service 02

Paper and Digital Catalog Project

A four-session project in which the Cedarvault team helps a household build a combined catalog of paper and digital records. Paper documents are sorted and labelled in archival folders; digital documents are organised into a clear folder structure with a written index. The work is organisational and is performed in the household's home or at our studio depending on preference. No document is filed or signed on the household's behalf. Includes archival materials, a printed index booklet, and a follow-up visit three months after the final session.

  • Four working sessions over several weeks
  • Archival folders and labels supplied
  • Printed index booklet produced at end of project
  • Combined paper and digital coverage
  • Follow-up visit at three months

RM 1,460

/ four-session project
Best for: Households with a mix of paper and digital records who want a thorough combined system built from the ground up.

Service 03

Annual Records Care Subscription

A yearlong subscription that combines a quarterly visit to maintain the household's records, a printed annual index, and a written end-of-year summary note. Designed for households that want sustained help keeping their records current. The work is the household's own and the team takes no action on the household's behalf with any external party. Suitable for one household per subscription.

  • Four quarterly visits across the year
  • Printed annual index produced each year
  • Written end-of-year summary note
  • Materials for maintenance visits included
  • One household per subscription

RM 2,760

/ per year
Best for: Households that already have a working records system and want professional support to keep it current throughout the year.
